Class Galleries: Consent and Media Safety
Class Galleries hold photos and videos from lessons, events and competitions. Every item carries a consent status, and the platform will not publish media for a student without a checked, valid consent record.
Prerequisites and permissions
- A School Administration or Teacher role with gallery upload access.
- A consent record on file for any student appearing identifiably in the media, collected through your school's standard consent process.
Steps
- Open Class Galleries and select the class or event album.
- Upload the photo or video. The system checks the album's associated consent records automatically.
- If any student in the media lacks a checked consent record, the item is held in Pending Consent status and is not visible outside your school's administration view.
- Once consent is confirmed and recorded for every identifiable student, update the item's status — it becomes visible to the parents/guardians and students it's scoped to.
- Add a caption, event name and date for context; these appear alongside the media.

Media without a valid, checked consent record cannot be published. This is enforced by the platform, not just a process step — do not attempt to work around a Pending Consent hold.
Verification step
The gallery item shows status "Published," and only students/parents with a legitimate connection to that class or event can view it.
Troubleshooting
- Item stuck in "Pending Consent": confirm every identifiable student has a checked consent record — one missing record holds the whole item.
- A parent reports they can't see an expected photo: check the item's visibility scope matches their linked student's class.
- Need to remove a published item: use the takedown control, which records the reason and is subject to audit — do not rely on deleting the file alone.
