Content Studio: Uploading and Publishing Curriculum Assets

Content Studio is where curriculum documents, lesson videos and captioned media are uploaded, reviewed and published. Every asset moves through a controlled draft → review → approve → publish workflow before it reaches a classroom.

Prerequisites and permissions

  • A Content Author, Reviewer, Approver or Publisher role — the action available to you depends on which of these you hold.
  • Files must be under your organization's size limit and an approved type (PDF, DOCX, MP4, common image formats).

Steps

  1. Open Content Studio from the admin workspace.
  2. Select Upload Asset and choose the file. Supported source documents (PDF/DOCX) can optionally be run through AI-assisted extraction to pre-structure the content into curriculum units and lessons.
  3. Add required metadata — title, curriculum area, target grade, and any captions or transcripts for video assets.
  4. Submit for review. The asset moves to In Review status; a Reviewer is notified.
  5. A Reviewer comments or requests changes; once satisfied, an Approver reviews and approves the exact submitted revision — approvers cannot edit content during approval, only approve or reject it.
  6. A Publisher (which may be a separate role from the Approver) publishes the approved revision. This creates an immutable, versioned publication snapshot.

Author, Reviewer, Approver and Publisher are intentionally separate roles on sensitive content — one person self-approving their own submission is not permitted where separation of duties applies.

Verification step

The asset shows status "Published" with a version number, and it is now visible to the schools/roles it was scoped for.

Troubleshooting

  • Upload rejected: check the file type and size against your organization's limits — unsupported types are blocked at upload.
  • Stuck in "In Review": a reviewer has not yet actioned it — check the assigned reviewer or escalate through Support Operations.
  • Need to pull down a published asset: use rollback/unpublication, not deletion — this preserves the audit trail and lets you restore a prior version if needed.
